BY LAWS

NAME

The name of this association shall be the Parent Teacher Fellowship (hereafter referred to as “PTF”) of Joshua Academy .

PURPOSE

The purpose of this constitution is to establish guidelines for the operation of the PTF in a manner which supports Joshua Academy ’s Mission Statement and Philosophy of Education; and promote achievement of the objectives of parents, teachers and administration.

OBJECTIVE

The objective of the PTF is to provide a framework in which parents, teachers, and the administration, through effective communication work together for the best interest of the student’s academic, physical, and emotional development by:

1)      Establishing a moral emphasis in PTF activities to encourage fellowship and growth among students, parents, teachers, and administration.

2)      Encouraging a cooperative relationship between school and home providing a structure through which parents, grandparents, etc. can be involved in Joshua Academy .

3)      Promoting Joshua Academy programs including raising funds for the benefit of Joshua Academy .

RELATIONSHIP TO SCHOOL

The PTF shall be organized and operate under the authority of the Joshua Academy .  The PTF officers perform functions for Joshua Academy and serve as custodians of PTF’s funds; however, the PTF is responsible for determining the use of its proceeds as defined in this document.

MEMBERSHIP

The membership of the PTF shall consist of parents, grandparents, guardians, teachers, administration and friends of  \Joshua Academy who demonstrate their desire for membership by registering with a PTF officer, paying the annual dues, and supporting the PTF objective.

OFFICERS

  • ELECTION:  The PTF Executive Board (defined below) shall lead annual election of officers by ballot vote for President, Vice-President, Secretary, Assistant Secretary, Treasurer and Assistant Treasurer.  Nominations for officers will be solicited from the families of the student body.  Self-nominations are acceptable.  The vote shall typically be taken during a spring meeting.
  • ELIGIBILITY:  All officers shall be in good financial standing with the school office.
  • SUCCESSION:  Officers may be elected to only two successive terms in the same office.  Should the President leave office before his/her term expires, the Vice-President will assume that office.
  • APPOINTMENTS:  The President has the power and authority to appoint coordinators, event committees, and replacement officers should there be a resignation before a term expires.
  • REMOVAL FROM OFFICE:  PTF officers who, at any time, fail to meet qualifications as written in this Constitution are subject to removal from office by the Executive Committee and the Executive Director by a quorum vote.

DUTIES OF OFFICERS: *

  • PRESIDENT:  The PTF President shall preside at all PTF General and Executive Board Meetings; recruit needed coordinators and volunteers; oversee all committees, events, and activities; call Executive Board meetings; create committees deemed necessary; and coordinate the PTF calendar of events with school administration.

  • VICE-PRESIDENT:  The PTF Vice-President shall serve as assistant to the President and shall in his/her absence, perform all duties of the President.  The President shall designate the special duties or assignments of the Vice-President.

  • SECRETARY:  The PTF Secretary should maintain a current record of Executive Board members, keep accurate minutes of all Executive Board meetings, and mail reminders/materials for Executive Board meetings.  The President shall designate the special duties or assignments of the Secretary.

  • ASSISTANT SECRETARY:  The PTF Assistant Secretary shall serve as assistant to the Secretary and, in his/her absence performs all duties of the Secretary.

  • TREASURER:  The PTF Treasurer shall collect and deposit all monies that properly belong to PTF; coordinate the accounting function with school office; present financial statements to the Executive Board and the PTF general membership; and prepare the PTF budget.

  • ASSISTANT TREASURER:  The PTF Assistant Treasurer shall serve as assistant to the Treasurer and, in his/her absence performs all duties of the Treasurer.

*Each officer shall be required to attend all Executive Board and general PTF meetings.

PARENT PARTNERS

Each homeroom class shall have at least one representative to serve on the Executive Board.  The parent partner shall be the liaison between the Executive Board and parents; encourage parental participation in the PTF; and organize the classes’ involvement in the PTF events.  The parent partner shall attend all the Executive Board meetings.

EXECUTIVE BOARD

The Executive Board shall consist of the PTF elected officers, two members of the faculty, and the parent partners.  Further, a representative of the school administration shall serve in an ex-officio, voting capacity.  The PTF President shall chair the Executive Board.  The Executive Board will have the responsibility for planning and conducting all activities of PTF; solicit feedback for improvement; review financial reports; and approve disbursement of proceeds from events/fundraisers.

MEETING

The Executive Committee shall meet at least three times throughout the year, typically early fall, winter and spring.  The PTF President may schedule additional meetings as needed.  The Secretary shall be responsible to notify all Executive Board members of the meeting date, time, place and purpose.  The general membership of PTF shall meet at such times and intervals as determined by the Executive Board.  There shall be no less than two regular meetings in each school year.

FINANCES

Money for carrying out the programs of PTF shall be collected from membership dues, donations, and event proceeds.  The funds raised by PTF shall be used to benefit Joshua Academy , the students and staff as approved by vote of the Executive Board.

QUORUM

A minimum of five members of the Executive Board shall constitute a quorum.  With the exception of constitutional amendments, a majority vote of all Executive Board members present, a t which a quorum is established, shall be required for action.

AMENDMENTS

Constitutional amendments shall be reviewed and approved by the Executive Board.
